Ensure every caller and visitor feels welcomed. Performs duties of a receptionist and assist with clerical and administrative duties.

Responsibilities

  • Greet and assist all persons entering the office area.
  • Monitor main entry doors and lobby; check I.D.’s, screen visitors and guests and notify proper personnel.
  • Answer the telephone; screen, provide information and direct incoming calls appropriately.
  • Perform computer tasks, including word processing and data entry in support of GCFD staff.
  • Edit and email the Daily Brief each day, utilizing Outlook.
  • Reserve meeting rooms as requested.
  • Schedule and log courier pick-up for all outgoing FED EX and messenger packages.
  • Update and monitor staff rosters daily.
  • Complete job assignments, such as prepare mailings, log and distribute lock box information, and other special projects.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

Qualifications

  • High school diploma/GED equivalent required – associate degree preferred. 
  • Must possess an excellent telephone manner and a professional appearance.
  • Excellent customer service and people skills.
  • Strong attention to detail and ability to prioritize.
  • Excellent organizational and communication skills both written and verbal.
  • Friendly and warm personality, ability to interact with a wide range of people.
  • Bilingual (English/Spanish) a plus.
  • Able to maintain a regular schedule from 5:15 a.m. - 1:45 p.m.
